Your guide to stress-free events
Event Planner in Cedar Falls: Full-Service Planning for Weddings, Corporate Events & Celebrations
Hiring an event planner is not about handing over control — it is about buying back your evenings. A good planner turns a loose Pinterest board and a guest list into a venue contract, a vendor timeline, a seating chart that survives family politics, and a run of show so precise that your only job on the day is to show up and enjoy it. Below we explain exactly what our team does, what it costs, and how to decide which level of support your event needs.
What does an event planner actually do?
The short answer: everything between “we have a date” and “the last guest left happy.” The long answer is a disciplined production process. At Northlight Events every engagement — from a 40-guest anniversary dinner to a 600-person corporate summit — runs on the same backbone: a written scope, a live budget tracker, a vendor matrix and a minute-by-minute event-day timeline.
- Budget architecture: we build the budget before the mood board, so every design decision is priced before it is promised.
- Venue sourcing and contract review, including rain plans, load-in windows and overtime clauses.
- Vendor curation, negotiation and scheduling — caterers, florists, AV, photographers, entertainment.
- Design direction: palettes, layouts, lighting plots, tablescapes and signage that match your story.
- Guest logistics: invitations, RSVP tracking, transfers, accessibility needs and dietary matrices.
- On-site production: load-in management, cue calls, problem-solving and a calm voice on the radio.
Events we plan
We plan four core categories of events. Each package below is a starting point — tap “Plan this event” and the request form will be pre-filled for you.
Weddings & elopements
From courthouse elopements to 300-guest barn weddings: ceremony design, vendor management, rehearsal direction and full day-of production.
Corporate & team events
Conferences, product launches, holiday parties and retreats with AV coordination, badge logistics, sponsor fulfillment and post-event reporting.
Birthdays & milestones
First birthdays, sweet sixteens, 50th anniversaries and retirement parties — themed design, entertainment booking and family-friendly timelines.
Outdoor & seasonal celebrations
Garden receptions, harvest festivals and winter markets: permits, power, weather contingency, tenting and guest comfort planning.
Our four-step planning process
Predictability is the product. Every client moves through the same four phases, each with a written deliverable you keep.
-
1. Discovery call
A free 30-minute consultation to define goals, guest count, date flexibility and a realistic budget range.
-
2. Design & budget
Mood boards, floor plans and a line-item budget you approve before a single contract is signed.
-
3. Vendor coordination
We book, schedule and manage every vendor, track deliveries and run tastings and site visits.
-
4. Event day
A two-person coordination team runs the timeline, cues vendors and handles surprises so you never see them.

Frequently asked questions
For weddings and large outdoor celebrations we recommend 8–12 months. Corporate events and birthday parties can usually be planned in 6–10 weeks. Day-of coordination can be booked as late as 4 weeks before your event, subject to availability.
Your choice. We maintain a vetted list of 120+ licensed and insured vendors, but we are happy to coordinate any vendors you have already hired — including family friends and venue-preferred caterers.
Yes. We regularly produce events across Black Hawk County and within a 90-mile radius of Cedar Falls, including Waterloo, Dubuque and the Des Moines metro. Travel beyond that radius is quoted individually.
A final planning meeting, a minute-by-minute event-day timeline, vendor confirmations, a rehearsal walk-through, and up to 10 hours of on-site management with a two-person coordination team.
A 30% deposit reserves your date; the balance is due 14 days before the event. Cancellations made 60+ days out receive a refund of the deposit minus a $150 planning fee, as described in our written service agreement.
Three planning tips from our team
- Lock the budget before the venue. Venues feel like step one, but your per-guest cost ceiling should be set first — it filters 80% of unsuitable venues instantly.
- Feed your vendors, feed your timeline. A 30-minute caterer meal built into the run of show prevents the single most common source of evening delays.
- Plan the exit, not just the entrance. Ushers, shuttles and a designated “last song” decision-maker turn a great party into a great memory.
